Exporting your webform results

After having your webform in play for a while, you decide you need to have access to the results in other forms than where it sits on your website. The Webform module includes a way to export the data, but it's not very clear how it works, nor is it user-friendly, so we're providing you with steps to help you extract the information you've collected.

Download your results as a CSV file

  1. Navigate to your webform through Manage » Structure » Webform. Select your form from the list.
  2. In your webform's dashboard, click on the Results tab.
  3. In the Results submenu options, click on the Download link.
  4. In the FORMAT OPTIONS section:
    • Change Export Format to: Delimited text
    • Generate an Excel compatible file: checked
  5. In the DOWNLOAD OPTIONS section:
    • Check: Download export file
  6. Click the Download button to finish.

Export your results as an HTML table

  1. Navigate to your webform through Manage » Structure » Webform. Select your form from the list.
  2. In your webform's dashboard, click on the Results tab.
  3. In the Results submenu options, click on the Download link.
  4. In the FORMAT OPTIONS section:
    • Change Export Format to: HTML Table
    • Open HTML table in Excel: checked
  5. In the DOWNLOAD OPTIONS section:
    • Uncheck: Download export file
  6. Click the Download button to finish.

Customization

The Download section offers you a way to decide what information will be included in your export. 

  • SELECT MENU, RADIO BUTTONS, AND CHECKBOXES OPTIONS
    •  Defines how multi-select options will be displayed in the file
  • COLUMN OPTIONS
    • Probably the most important option to review as this will give you direct control over what content will be included in the output. This is key for excluding administrative, internal topics like Submission ID, Changed, In Draft, etc.
  • DOWNLOAD OPTIONS
    • Limit to
    • Sort order

 

TROUBLESHOOTING

"I get an error when I try to download my form results"

This occurs when your form results total exceeds the default Webform download limit configuration, which is set to 500. If you experience this issue, take these steps to see if resolves the problem:

  1. Navigate to Manage » Structure » Webforms » Configuration tab » Advanced sub-tab.
  2. Scroll down to the BATCH SETTINGS section.
  3. Locate the Batch export size field and change the number listed (default is 500) to a number higher than the total results of your webform.
  4. Scroll to the bottom of the screen and click the Save configurations button to finish.
  5. Try downloading your form results again. Keep in mind that you may need to increase this number again if you continue to collection submissions. Should this approach fail, please contact the SiteFarm team for additional support.
